Shipping Opening the Manifest:

  • Log into Profill (a.k.a Central Fill) 
  • Click on “shipping” and select “current Shipments” from the drop-down menu that appears. 
  • Along the right-hand side of the screen, under the heading “Manifest Operations” click “Open”. 

Closing the Manifest:

  • Log into Profill (a.k.a Central Fill) 
  • Click on “shipping” and select “current Shipments” from the dropdown menu that appears. -       Along the right side of the screen, under the heading “Manifest Operations”, find and click “Print”. 
  • Once the “manifest Detail” page generates, make sure that the second drop-down menu is on “Copy 1” (Accepting Location) and press “submit”. 

o DO NOT change the first drop-down menu. 

  • Once the Canada Post “Parcel- Detailed manifest” loads, right click on the page and select “Print”, once the preview appears, press “Print” again. 
  • Go back to the “manifest Detail” page on Profill and repeat the last two steps for “Copy 2” (Customer Copy), and “Copy 3” (Data Entry). 
  • When all copies are printed, sign the last page on EACH copy by the “Authorized Customer Signature” line. 
  • Give all three copies to the Canada Post-man for him to take the first and third copy and sign the second and give back. 
  • Leave Copy #2 in filing at the back for Ang to use for billing.  

Receiving order:

  • McKesson will deliver order in the morning. 
  • To print the invoices: 

o Log into McKesson (Pharma Clik) o Right when you log in, at the top right corner it will say “MCK- 523167”.  

  • Click it to get the drop-down menu to switch to the different accounts. 
  • The accounts needed for invoices are 625053 (PSV), 620708 (DTL), 580464 (PC) as well as 523167 (Non-PC) 
  • For each account, click “Finance” on the top bar, the select “Invoice History”. 
  • Change the date range to the current day and the day before 
    • The invoices will be dated the previous day due to be being entered at the end of each day. 
    • The day could also be the previous Friday if printing invoices on a Monday. 
    • Date should be the previous workday and todays date. 

o Click each individual invoice and print.

                              §    They all should be dated the same. 

o Repeat with all 4 accounts. 

  • The McKesson order boxes should have a sticker on the top saying which account they come from. 
  • Open boxes/ totes that are from the same account. 
    • The items in the box along with their quantities should match with the invoices. 
    • Double check each DIN number and quantity and mark them off on each invoice. 
  • Repeat with each account. 
  • Arrange the drug bottles and boxes on carts to be easily accessible and seen. 
  • Bring the cart(s) to the picking station to be used for back orders. 

Shipping:

  • Most orders will go through fine. 
    • Scan the barcode on the bottle or box. 
      • Put any boxes or blue vial orders in boxes with packing paper. 
      • Put orders with just full bottles into bubble mailers. 
    • Wait for papers to print and add them to the box or mailer. 
    • Press “0” and “Enter” 
    • Put the parcel on the scale and select the right size of box or the bubble mailer to get the right dimensions. 
    • Stick the printed Canada Post label on the outside. 

                              §     If bubble mailer, place the label over the closed edge to strengthen the seal. 

  • If order does not fit in the regular boxes, make sure to measure the new box and change the dimensions to match. 
  • If the order is heavier than usual, a pop-up screen will tell you that it is too heavy to ship “small Parcel”.  
    • If this happens, change the drop-down option to “Expedited Parcel”. It should work then. 
  • If the order is supposed to be picked up in store (or is a staff member’s order) o Scan the items. When the next screen comes up it will look different then usual. There will not be any where to weigh the package. 
    • At the top select “Options” and then select the drop-down option “Pick-Up”. 
    • Put the drugs in a white prescription bag along with the two bottom sections of the prescription paper (the “Official Prescription Receipt” and the “Patient Counselling 

Messages” sections) o Fold over the top and seal with a sticker from the prescription paper. oEither put the prescription in the white “Pick-Up bin” by the machines for external customers to pick up or give directly to staff. 

  • If the customer owes money, take their payment at the front machine. 

§    On the “Official Prescription Receipt” there will be a line that says “what the patient owes”.  

  • When orders come down the line in plastic bags it usually is a refrigerated item. 
    • For Nuva rings, Latanoprost, and Salofalk only need a cold gel pack in its normal box. 
    • For others, such as Insolin and Estalis boxes they will need an insulated box with the correct number of Gel packs included. There should be instructions for summer and winter protocols on the fridges: 

                              §    Summer (May 1st- Oct. 31st

  • Small – 1 frozen Gel pack on bottom, 1cold pack on top. 
  • Large – 2 frozen gel packs on bottom, 2 cold packs on top. 

                              §     Winter (Nov. 1st- April 30th

                                          •    Only use warm Gel packs 

  • Some orders will need to be shipped manually through the Canada Post Website o There is a tab bar made for “Canada Post Shipments” in Google Chrom. o Sign in: Username: streamps   Password: STREAMPS 
    • Make sure to check if you are shipping in Canada, USA, or international on the left hand side. 
    • Complete the information need for the “Recipient Information”. 

                              §    For the contact phone number (if needed) enter 5555555555. 

  • Weight the order, including its box and papers. Include this information as well as the dimensions of the box in the “shipment Information”. § Click next. o For international and USA packages another step will be needed. 

                              §    Customs: 

  • In the currency box, click the dropdown menu and select CAD. 
  • In the “Reason” box type “Sale of Goods”. 
  • For the “Non delivery” section, make sure that it is “Return at sender’s expense”. 

                              §    Contents: 

  • Quantity is the number of bottles or boxes being mailed. •          For the “Unit Value”, enter the price of one of the items. 
  • For the “Unit Weight”, weight a single box on the scale and enter it. 
  • For the “Description” type “Prescription for personal use”. 
  • The Service Type should be Xpresspost unless otherwise requested. Then click next. 
  • Once it gives you a total cost for shipping write it on a paper to remember for later steps o Click transmit to ____ and print that paper. o Fold and rip the paper in two along the dotted line, the one part with the barcode can be put in a clear label case to be attached to the box after order has been scanned in 

Profill. 

  • The other will be given to the accountants at the end.  
  • Before closing the manual shipment page, highlight and copy the tracking number to be used in Profill. 
  • Scan the order items in to Profill as usual. 

§    The next pop up will look different than the usual (there will only be a bar that says tote). 

  • At the top select “options” then on the drop-down menu click “Ship Manually”. 
  • The next screen will have a place called “Waybill” to paste the tracking number copied from Canada Post sheet.  
  • The other section will ask for the price, enter the price that was written down previously. 
  • Now package the order in its box with its papers. 

                              §    On the outside stick the Canada Post half sheet inside the clear plastic sleeve. 

o On the second half of the paper, write down the affiliate pharmacy, the Central Fill number and the cost previously found on the Canada Post website (the amount that our account is being charged). 

                              §    Give this paper to the accountants.
