Delivery Order Management

Patient Setup

Profill needs a complete patient record for mail order. In the beta version of Profill 2, we still require this but we will be removing this requirement when we leave beta.

A patient must have all the parts of a valid address, a phone number as well as their DoB and Sex.

If you are using compliance packaging, you must also add the patient group for the type of compliance packaging that you want for this patient.  Options are Blister and Strip Packaging. We add these groups to Kroll when we on-board. All you need to do is apply them to any patients for which you want to compliance package.

Do not add both compliance packaging options to a patient, just use the one that matches what you need for this patient.

Compliance/Unit Dose Setup

Unit Dose setup is done per Rx, in Kroll. If you have already been doing compliance packaging then you are familar with these screens in Kroll. If not, Kroll provides the training for this.

You usually only need to do this once for the Rx and we'll take the same settings as long as there are refills on the Rx when you send it.

We look for three things in the Unit Dose screen:

  1. The Unit Dose flag (which, if off, will disable the other controls on this window)
  2. The frequency or compliance cycle
  3. Pass time and dose

Delivery Order Setup

After you perform the filling steps in Kroll for a patient (this includes adjudication, unit dose setup and so on), to flag the order for central fill you need to create a delivery order in Kroll for that patient.

If your patient card is setup in a way that Profill accepts, and your scripts are all filled, the delivery order setup only takes a moment to do as shown above.

If there are missing fields, that Profill needs, Kroll will highlight them in Cyan  blue. If not, just confirm the order with the OK button.

Deleting a Delivery Order

Deleting a delivery order will also attempt to cancel an existing central fill order at Providen. You can always delete an delivery order in Kroll and it will always succeed. You attempt to cancel a central fill order may or may not succeed. For example, if we completed and billed the order and then you remove the delivery order, the Providen order will not be affected even though you removed the delivery order.

Deleting a delivery order is the most convenient way to cancel a central fill order since they can happen at the same time and you only have to do one thing instead of two. You also don't need to contact the facility in most cases.
