Workspace Menu
The workspace menu can be accessed by right clicking anywhere in the empty white area in the delivery order screen where your orders are presented as badges.
The workspace
#1. The workspace is a term we use to describe the area that shows you all your delivery orders/central fill orders.
#2 The workspace menu appears when you right-mouse click anywhere in the workspace that is not occupied by a badge.
#3 A badge is a user interface element that represents your Kroll Delivery Order (called a central fill order after it's successfully sent to Providen, it turns blue when it's new, and green when it's completed. When a delivery order becomes a central fill order, the delivery order number changes from "DO#" to "CF#" in addition to the color change.
The workspace menu commands
These menu commands let you setup how the delivery order system behaves.
Unattended Mode vs Manual.
You have the option of a largely hands off way to use Profill. When you run in unattended mode, the application will watch for new delivery orders and automatically add them to the workspace. Once a new order appears, it will validate the order and automatically send it to Providen.
When you use unattended mode, you only have to ensure the application is running and it will do repetitive actions of validating and sending each order for you.
To enable Unattended Mode you need to toggle the following menu commands:
- Watch For New Delivery Orders Automatically (to ON)
- Auto Validate Orders (to ON)
- Send Immediately After Successful Validation (to ON)
The only activity you need to handle when running in unattended mode is resolving problems.
When the timer icon in the lower left menu bar is green, because the "Watch for new.." option is enabled, Profill will automatically look for and add new orders to the workspace.
To ensure they send automatically, without your help; ensure options #2 and #3 are also enabled.
Please note that unattended mode should not be used with you have start-date confirmation prompting turned on. That option will prevent unattended mode from working properly.
Please make sure that when/if you use unattended mode you set your start date in Profill before creating delivery orders in Kroll since Profill will grab those quite quickly and send them; you'll want to make sure your start date is set to the one you want first.
When in manual mode, the timer icon is black, and there is an "refresh" icon to the right of it.
When the refresh icon is present it means you must invoke the check for new orders yourself.
Click the Refresh icon or right click the workspace and choose "Check For New Delivery Orders" menu command.

The Blister Label
This is the packaging we use for blister packing for your store. This is usually not changed since you will decide upon a label during your on-boarding. In some cases you might have a specific patient who uses a non standard label so this option allows you to customize as needed. For most cases, you simply set this option once and leave it alone. If you do want to change it you should consult with the central fill pharmacy to confirm they have the label stock in the facility before you attempt to use it.
Compliance Start Date
Is typically the 'next' Monday. This value updates itself. If you want another start date, just change what the value says. This value along with the blister label option are applied to all your compliance orders.
Order problems are grouped into two categories shown by color: an orange badge is called a validation error, or a preflight error. These usually problems with one or more products in the order, or a problem with the patient card setup in Kroll. These problems you can solve on your own by fixing the issues with the patient or drugs in the order.
A red badge means there was an error on the attempt to send the order to Providen. These issues usually need an intervention from Providen to resolve.
The value in the compliance start date field is applied to every compliance order when Profill loads a newly detected delivery order in Kroll. If the date is not what you intended you can either:
- Clear the workspace menu with the "Clear Pending Orders" menu command, and start over by
- Setting the date to your required value, and then clicking "Get Orders" again, OR
- Setting the date to your required value, and then clicking "Get Orders" again, OR
- Right click on the badge(s) in question, and choose "Set Order Start Date".
- You would need to do this for every new delivery order
- This option is better suited to one-off changes
Other Menu Commands
Manually Import Delivery Order
This is a development menu command. You might see this menu option depending on the version of Profill you have. Early adopters will see this menu option. You do not need to use this option unless directed to do so by Providen.
Clear Completed Orders
An order that turns green is completed by Providen. These orders should remove themselves daily. If you end up with many of these and you'd prefer to remove them, click this option.
You have the option of making these orders remove themselves after they are successfully accepted by the central fill facility. To do this, open Central Fill Configuration window, and enable "Limit the workspace to unsent orders".
When you enable this option a badge will remove itself after it is accepted by Providen. It will not cleanup any completed orders that might already be present. You would have to manually clear those with the "Clear Completed Orders" menu.
Clear Pending Orders
A pending order is any delivery order that is not blue/green and shows you the delivery order number vs the central fill order number. If you are having problems with a delivery order you can remove any unsent orders with this option. They will reappear whenever Profill checks for orders, either manually or unattended. Clearing pending orders from Profill does not remove delivery orders in Kroll. Profill does not delete data in Kroll.
List Orders To Console
Is another developer option. You will not notice any output you can see if you use this option, it's for troubleshooting during the early rollout/beta period.
Configure Central Fill Settings
This will load the setting window where you might change the settings that control the behavior of Profill.
Advanced Prompting
By default Profill does not prompt you to confirm the start date on a compliance order. It will use the date you see in the compliance start date control at the bottom of the workspace.
If you prefer to have a reminder - which is helpful in facilities that have staggered runs (where the start date might change based on your batch); you can.
Open the Central Fill Configuration menu and select your choice:
- No Confirmations
Turns off start-date confirmation prompting. This is the default setting. - Confirm once per day
Will confirm the first compliance order's start date for the day. All orders that follow it will not prompt for that day. - Confirm every order
Confirms the start-date on every compliance order.
If you have enabled any start-date confirmations, you will see this alert when you open the central fill workspace:
It will stay there until you close it with the X. You'll only see this when you first open the workspace. It is not an error message, just an alert intended to grab your attention hopefully before sending orders with an incorrect start date.
